Handwritten mail for advisers, brokers and funds

Financial services has the best economics for this channel of any industry we deal with, and the tightest constraints on how it can be used. Both facts deserve to be said on the same page.

Why the numbers work here

A retained advice client, a mortgage that does not refinance away, a member who does not roll out — each is worth thousands over its life. Against that, four dollars of handwritten mail is a rounding error, and the list of people worth writing to is usually in the hundreds rather than the tens of thousands.

That combination — high value per relationship, small addressable list — is precisely the shape of problem handwritten mail is good at. It is the opposite of the shape email is good at.

The four lists worth writing to

  • Expiring fixed rates and renewals. A finite list with a date attached, where a competitor is about to write to them too. The most defensible spend in the category.
  • Clients who have not been reviewed. A written note asking to book a review gets responses that four automated emails did not.
  • Newly onboarded clients. Written in week one by the adviser whose name is on the file, not by the firm.
  • Referral sources. Accountants and solicitors who send you work and get a Christmas card at best.

What we will not pretend

Compliance teams in this sector ask harder questions than anyone else, so here are straight answers before you have to ask.

We hold no security certification. Not ISO 27001, not SOC 2. We handle mailing lists carefully and we will document exactly how — but if your framework requires a certified processor, that is a real blocker and you should know it in the first conversation rather than the fifth.

We also cannot yet commit to a guaranteed turnaround, so do not build a time-critical compliance mailing around us until we have quoted you a specific production window in writing.

Questions from advisers and brokers

How do you handle client data from a licensee or brokerage?

Your list is used only to write your campaign, is never combined with anyone else’s data, and is returned or destroyed on request with written confirmation. We do not hold security certifications and we will not imply otherwise — if your compliance team needs a certified processor, we are not it yet, and we would rather tell you now.

Can a handwritten letter carry compliance wording?

Yes, but think about where it goes. A page of disclaimer in handwriting looks absurd and eats the word count you are paying for. The usual solution is a handwritten letter with a printed compliance insert in the same envelope.

Is handwritten mail appropriate for regulated advice?

For general communications, invitations and relationship correspondence, yes. For anything constituting personal advice or a required disclosure, the format is a matter for your licensee, not for us. We will write what your compliance team signs off.

What about writing to another firm’s clients?

Cold acquisition mail in financial services carries obligations under the Privacy Act about where the data came from and what the recipient was told. Make sure your list is sourced lawfully before you brief a campaign — we will ask.

Start with the renewals list

Everyone whose rate, policy or term expires in the next ninety days. It is a small list with a deadline on it, and it is the easiest campaign in this sector to justify.
