What is Autopen Australia?
An Australian direct-mail service that writes letters, cards and envelopes with a real pen held by a writing machine. You supply the message and the recipient list; we produce the pieces and either send the finished job to you or lodge the campaign with Australia Post on your behalf.
Are the letters actually handwritten?
They are written with a real ballpoint or rollerball pen, on real paper, one stroke at a time. The hand holding the pen is a machine rather than a person. We are deliberate about that distinction because the alternative — calling it handwriting without qualification — is the sort of claim that falls apart the moment a customer looks closely.
Can the recipient tell it was written by a machine?
Under casual inspection, generally no: the ink sits in the paper, the pen has pressure and drag, and the letterforms vary from piece to piece. Under deliberate inspection by someone who knows what to look for, often yes. We would rather you know that before you order than discover it afterwards.
How is this different from a printed handwriting font?
A printed font is toner or inkjet on paper: flat, uniform, and identical on every piece. A pen leaves a physical indentation, ink pooling at direction changes, and slight variation in every character. Hold one of each to a light at an angle and the difference is immediate.
What can you write?
Letters, note cards, greeting cards, compliment slips, and the envelope itself. Anything that is text on paper at campaign volume. We do not sign documents where a signature carries legal effect.
What is an autopen?
A machine that holds a pen and moves it across paper to reproduce handwriting. The term comes from mid-twentieth-century devices used to sign correspondence on behalf of public figures. Modern machines are computer-controlled plotters that write arbitrary text in a defined hand.
Do you write in cursive or print?
Both are possible. Cursive generally reads as more personal; print is easier to read at small sizes and on envelopes. We will show you the options against your actual copy before anything is produced.
Is this suitable for my industry?
It suits any business where a single customer relationship is worth more than a few dollars — real estate, financial services, healthcare, automotive, charities, professional services and ecommerce are the obvious ones. If the margin on a customer is cents, handwritten mail will not pay for itself.

What is the minimum order?
100 pieces. Below that, the setup cost dominates the price and you would be paying mostly for the setup rather than the mail. If you want to test with fewer, tell us what you are trying to learn and we will suggest the cheapest way to learn it.
What is the largest order you can take?
The calculator quotes up to 50,000 pieces. Beyond that the answer depends on the deadline rather than the volume, so tell us the date you need it in the post and we will tell you honestly whether it is achievable.
How long does it take?
We do not publish a guaranteed turnaround, and you should be sceptical of anyone in this category who does without knowing your job. Writing time scales with quantity and message length, and postage adds its own days on top. Tell us your in-home date and we will confirm in writing whether we can meet it before you commit.
Can I see a sample before I order?
Yes. Ask when you brief us and we will write a sample using your own copy rather than a generic demonstration piece, because the thing you actually want to judge is how your message looks in the hand.
Do you provide a proof?
Yes. Nothing goes into production until you have approved a proof of the copy, the handwriting style and the envelope treatment. Approving the proof is what starts the clock.
What do you need from me to start?
Three things: the message, the recipient list, and the date you want it landing. Everything else — paper, hand, ink, envelope, postage — we can walk you through.
What format should my recipient list be in?
A CSV or Excel file with one row per recipient and a clearly named column for each field you want merged: name, address lines, suburb, state, postcode, and any personalisation fields. If your data is messy, send it anyway — cleaning lists is routine.
Can I change the copy after I have approved it?
Before writing starts, yes. Once the pens are moving, a change means rewriting the affected pieces, which costs what it costs. This is why the proof stage exists.
What if some pieces are spoiled?
Paper jams and ink faults happen in any physical process. Spoiled pieces are rewritten at our cost, not yours. Tell us at the briefing stage if you have a hard count you must hit and we will build in a margin.

How much does a handwritten letter cost?
It depends on four things: how many pieces, how many words, whether the envelope is handwritten too, and whether we post it or send the finished job to you. The calculator on the pricing page gives you an indicative figure in a few seconds, and it does not ask for your email address to show you the number.
Why does the price depend on word count?
Because the pen has to travel the distance. A four-hundred-word letter takes roughly four times as long to write as a hundred-word note, and machine time is the main cost in the job.
Is there a setup fee?
Yes — $165 for a campaign, covering the handwriting setup, the merge configuration and the proof. It is waived at 5,000 pieces and above.
Do you offer volume discounts?
Yes, and they are applied automatically in the calculator rather than being something you have to negotiate. The rate steps down at intervals from 150 pieces up to 25,000 and above.
Is postage included in the price?
Only if you ask us to lodge the campaign. The calculator has two delivery options: we send the finished job to you and you post it yourself, or we lodge it for you and postage is included in the per-piece figure. Postage is charged at what it costs us.
How much does a handwritten envelope add?
$0.92 per piece at the standard rate, before volume discount. It is usually the highest-value option on the calculator, because the envelope is what decides whether the letter is opened at all.
Do your prices include GST?
The calculator shows the figure excluding GST and then adds it on the total line, so you can see both. Prices are in Australian dollars.
Is the calculator price a quote?
No. It is an indicative estimate, and it says so. A quote follows a conversation about your list, your deadline and your artwork, because those are the things that move a price in practice.
How does payment work?
Terms are agreed with the quote. Tell us if you need a purchase order, a particular invoicing arrangement or payment in stages, and we will accommodate what we reasonably can.

What paper do you write on?
Quality uncoated stock, because coated paper repels ink and makes a pen skip. If you want a specific weight, colour or texture, or your own letterhead, tell us at the briefing stage and we will confirm it writes cleanly before you commit to it.
Can you write on my own letterhead?
Usually yes, provided the stock takes ink properly. Send us a sheet and we will test it rather than guess.
What sizes do you produce?
A4 letters and A5 or A6 cards are the common formats, with DL and C5 envelopes to match. If you need something else, ask.
Are the envelopes handwritten too?
They can be, and it is the option we would push you towards. A printed address on a window-faced envelope tells the recipient exactly what kind of mail it is before they touch it. A handwritten address does not.
Do you use real stamps?
For smaller campaigns a real stamp is the natural finish and looks nothing like bulk mail. Larger campaigns generally use a bulk lodgement service where the indicia is printed. We will tell you which applies to your volume and what it does to the cost.
Can you include an insert, a brochure or a business card?
Yes. Inserts affect weight, and weight affects postage, so it changes the per-piece figure. Send us the item or its specification and we will price it properly.
Can you include a gift?
Small, flat, postable items are usually workable. Anything bulky becomes a parcel rather than a letter, which changes the economics substantially. Tell us what you have in mind and we will be straight about whether it makes sense.
Can you print colour artwork on the card as well as writing it?
Yes — printed artwork and handwritten text are not mutually exclusive, and combining them is common for greeting cards. The printing happens first and the writing goes on top.

How does the handwriting machine work?
A plotter holds a real pen and moves it in two axes across the page, lowering and lifting it exactly as a hand does. The letterforms come from a handwriting model rather than a typeface, and the machine varies spacing, slant, baseline and letter shapes so no two pieces are stroke-identical.
Do all the letters look the same?
No, and that is the point of the variation. Identical letterforms repeating down a page is the single clearest tell that something was printed rather than written, so the model deliberately introduces the small inconsistencies a human hand produces.
How many handwriting styles can I choose from?
Several, ranging from a fast informal scrawl to a careful upright hand. The right one depends on who is supposed to have written the letter — a note from a tradesperson and a note from a private client adviser should not be in the same hand.
Can you use my own handwriting?
It is possible to build a model from samples of a real person’s hand. It takes time and a decent quantity of source writing, so it is a project rather than an option you tick. Ask us if it matters to you.
What ink colours are available?
Blue and black are standard, and blue tends to read as more obviously pen-written because it is not what printers produce. Other colours are possible; ask when you brief us.
Can each letter be signed?
Yes. A handwritten signature block is one of the calculator options, and it is written with the pen like everything else rather than reproduced as an image.
How personalised can each letter be?
As far as your data goes. The simplest version merges a first name. Beyond that, any field in your list can appear anywhere in the copy — suburb, property address, renewal date, last purchase, adviser name. Every piece is written individually, so per-piece variation costs nothing extra in production.
Can different recipients get genuinely different letters?
Yes. Conditional copy — one paragraph for one segment, a different paragraph for another — is straightforward. Tell us the rule and the field it keys off.
What happens if a name has unusual characters?
Accented and non-Latin characters are usually fine, but tell us in advance so we can check the handwriting model covers them rather than discovering a gap at proof stage.

Do you post the letters or send them to me?
Either. Sending the finished job to one address is the cheaper option and gives you control over timing. Lodging it for us to post saves you the handling. Both are on the calculator.
How much is postage?
The calculator uses an indicative per-piece figure for managed lodgement. Real postage depends on weight, size and which Australia Post service the campaign qualifies for, and it is charged at cost.
What Australia Post services do you use?
It depends on volume. Australia Post has bulk lodgement options that start at a few hundred letters, promotional rates at higher volumes, and a Charity Mail rate for endorsed deductible gift recipients. We will tell you which your campaign qualifies for.
Can letters be tracked or sent signature-on-delivery?
Yes, at the additional cost Australia Post charges for it. It is rarely worth it for a marketing campaign and often worth it for a small number of high-value pieces.
Can you post internationally?
Yes. International postage is priced by destination and weight, so send us the country breakdown with your list and we will quote it accurately rather than averaging it.
When will the letters actually arrive?
Australia Post delivery times are theirs, not ours, and they vary by lodgement type and destination. We will tell you the lodgement date we can hit; the in-home window follows from Australia Post’s own published timetable for that service.
Can you schedule a campaign to land on a particular date?
We can aim at a window rather than promise a date, because the last leg is outside our control. For anything time-critical — an event invitation, a renewal date — build in a buffer and tell us what the deadline actually is.
What return address goes on the envelope?
Yours, normally, so replies and undeliverables come back to you. If you would rather they came to us, say so.
What happens to letters that cannot be delivered?
They return to whatever return address is on the envelope. Returned mail is genuinely useful — it is the cheapest list-hygiene data you will ever get — so keep it rather than binning it.

What do you do with my recipient list?
We use it to address and personalise your campaign, and for nothing else. We do not sell it, rent it, market to it, or add it to any list of our own.
How long do you keep my data?
Only as long as the campaign needs it, plus a short period in case of a reprint. Ask us to delete it sooner and we will.
Is addressed advertising mail legal in Australia?
Yes. The Spam Act covers electronic messages — email, SMS — and does not apply to physical mail. Addressed direct mail is lawful, and there is no equivalent of an unsubscribe requirement written into statute for it.
Do I need consent to send someone a letter?
Not in the way you do for email. What does apply is the Privacy Act and the Australian Privacy Principles, which govern how you collected the personal information in the first place and what you may use it for. If the addresses came from your own customers, you are usually on solid ground. If they came from somewhere else, get advice.
What about the Do Not Mail service?
ADMA operates a Do Not Mail register. Honouring it is not a statutory obligation for most senders, but suppressing those addresses costs you nothing, saves postage on people who have said they do not want mail, and is the right thing to do.
Should I include a way to opt out?
Yes, even though you are not compelled to. A single line offering to take someone off the list costs you one sentence and buys goodwill from the people most likely to complain otherwise.
Do you have a written privacy policy?
Yes, and it describes what we actually do rather than reserving every right a lawyer could think of. It is linked in the footer.
Are you an Australian business?
Yes. Autopen Australia operates in Australia and serves Australian businesses. Your data does not need to leave the country for us to run your campaign.

Can I run a recurring or triggered campaign?
Yes. Rather than one large send, you can have letters produced continuously against a trigger — a renewal date, a settlement, an anniversary, thirty days after a first purchase. Tell us the rule and how you want to hand us the recipients.
How do I send you recipients on an ongoing basis?
A scheduled CSV, a spreadsheet you keep updated, or an export from your CRM on whatever cadence suits. We will agree the mechanism when the programme is set up.
Do you have an API or a CRM integration?
Not yet, and we would rather say so than list one that does not exist. If an automated hand-off is what would make this work for you, say so when you brief us — knowing that is exactly the sort of thing that decides what we build next.
Can I send a single letter?
Not economically — the minimum is 100 pieces. If you have a genuine one-off that matters, tell us what it is; there may be a sensible answer that is not us.
Can I split one campaign across several sends?
Yes, and for a first campaign it is often the smarter structure: send a portion, see what comes back, adjust the copy, send the rest. Volume pricing is based on the committed total rather than each batch.
Can you A/B test two versions?
Yes. Split the list, write two versions, and put a distinct response mechanism on each — a different phone number, a different landing page, a different reply code — so you can actually attribute what comes back.
How do I measure whether it worked?
Decide the response mechanism before you send, not afterwards. A dedicated landing page with a short URL, a unique phone number, or a code the recipient quotes will all work. Without one you are guessing, and handwritten mail is too expensive to guess about.

The mechanism is well established: a hand-addressed envelope gets opened more often than an obviously machine-produced one, because it does not look like advertising. What you should be sceptical of is any supplier quoting you a precise open rate or response multiple as though it were a property of the medium. Those numbers depend on your list, your offer and your timing far more than on the pen.
Why will you not quote me a 99% open rate?
Because we cannot show you where the figure came from. Numbers like that circulate freely in this category with no traceable source, and repeating them would tell you nothing about what your campaign will do. We would rather give you an honest mechanism and let you measure your own result.
Do you have case studies?
Not yet, and we will not invent any. When we have results a customer is happy to have published, they will appear here with the numbers attached and the customer named.
Is handwritten mail better than email?
It is more expensive per contact by a wide margin and it reaches far fewer people. It is worth it when a single response is valuable enough to justify the cost, and it is a waste when it is not. Work out what one new customer is worth to you and the arithmetic answers itself.
Is it better than printed direct mail?
It costs more and it gets opened more often. Whether that trade is worth taking depends on your margin. For a low-value, high-volume offer, printed mail is the rational choice.
What sort of campaign should I start with?
The one with the warmest list and the clearest reason to be writing. Reactivating lapsed customers, following up appraisals that went quiet, thanking people after a purchase — these beat cold prospecting for a first test, because they tell you whether the medium works before you also ask whether your targeting works.
